File Naming Conventions Every Business Should Use in 2026

Poor file naming costs businesses an average of 2.5 hours per employee per week searching for documents. Here's how to fix it.

Why File Naming Matters

When your team doesn't follow consistent naming, you end up with: Final_Report_v3_FINAL_reviewed_ACTUAL.docx. Everyone has seen this. Nobody should have to live with this.

Universal Rules

1. **No spaces** — Use hyphens or underscores instead

2. **Dates in ISO format** — YYYY-MM-DD sorts chronologically in every file browser

3. **Version numbers** — Use v01, v02, not "final" or "latest"

4. **Lowercase** — Prevents cross-platform issues between Mac, Windows, and Linux
